 Extend Commerce BACKEND

Several new features in the Purchasing function

New functionPurchaseRequires support to activate: NO
  1. Additional columns to display what's sold
    The columns show the number of products sold in 7/30/90/365 days. As the sum of customer orders and returns is displayed, a product that has left the warehouse for other reasons (e.g. inventory) will not be displayed.
  2. Easier to adjust the price
    You can now adjust the price directly in the table, compared to before when you first had to click on the pen for editing and then save. 

    3. New filter to hide rows
    We have added the filter "Hide products where purchase exists" (does not show received).

    4. New filter for balance
    Four new filters make it possible to choose to show products where the available balance is less than 7/30/90/365 days consumption (what is actually consumed), to be able to see where you have a potential shortage situation.

Complimentary products – all on the same row

Some products are sold as packages, for example: "Buy two t-shirts, and you get a cap for free".

Previously, one complementary product was added to each row. You can now choose to collect several complementary products in one row. In the example above, the customer buys four t-shirts and gets two caps for free. The caps will now show on the same row.

This function is activated under Order settings.



Automatic validation of EU VAT numbers

EU VAT number handles VAT via the rules for reverse EU VAT. It is important that the EU VAT number is correct as authorities and accounting systems do not accept incorrect numbers.

The number connected to the customer in  Extend Commerce BACKEND (at the time of purchase) is now automatically checked, and the system reports if it is incorrect. The order is then placed in the review queue for manual verification.

Orders can be forwarded from the review queue, just as before. However, we recommend that the EU VAT number is always checked first and possibly adjusted.

Upload of purchases / expected delivery

You can now upload purchases with an Excel file, meaning that you can add several deliveries in the same upload.

You will find the function under the menu for Uploads –> Purchase orders.

Review queue for low margin orders

We are now introducing another type of review for orders: Gross margin.

Upon activation, each order is controlled based on the size of the gross margin. If the order's gross margin falls below the specified level, it's put in the review queue, with the note "gross margin".

You can activate the function under Order settings.


Release orders

Releasing orders from the list "gross margin" require authorization. By default, users who have the right to release orders with an exceeded credit limit also have the right to approve an order with a low gross margin.

Open / closed panels: default setting

The panels on the New Order pages are always either open by default or closed by default. At the request of users, we have made the following change: the search for old orders without opening a panel to access the function is now default.

We also introduce personal settings for the panels. That means that the panels on all new pages (from the 9.1 release) are open at the first visit. You can, however, use the check box at each panel to mark whether you want it to be either open or closed by default



Order booking/notes on customer

On the page for creating orders, we have added an icon that will indicate notes registered on the customer. The notes will appear when the mouse pointer hovers over the icon.

Scanning confirmation of correct product

During autumn 2021, we introduced the possibility to decide how to confirm picking a product within a package. Either by scanning a bar code or the location.
A similar setting is now also available on the regular order picking page. Previously, you confirmed picking a product by scanning one of the following options:
- Pallet/batch label
- GTIN / product number
- Location
The new setting enables choosing how to scan the product.



In the example above, we have marked that it's accepted to scan the GTIN / product number or the pallet/batch label, but NOT the location.
We have also introduced that validation can be done at the touch of a button. In this case, no scan is needed at all to confirm that the correct product has been picked. This function needs to be selected and activated.

Show this view by clicking on this "A". Here you are allowed to select and auto-generate a proposal.

Clearer picking of package items

When picking an individual product linked to a package, the package name (mother) is now displayed on the picking page.

A new method for product descriptions

Product texts (in all languages) in, for example, our B2B webshop can now be read, written and changed via our API.
